Why i-wareness?
Today most organisations will have a Security or HR department, they probably have a set of company policies and employee regulations, and they almost certainly have firewalls and other protective measures in place. However, companies are still vulnerable. How can you ensure that your employees are protecting your organisation’s information, assets and reputation?
Your organisation can implement the most stringent of security controls, but these will become irrelevant if one employee releases important information into the public domain, or innocently damages your reputation by compromising diversity laws. In 2007, just such lapses as these caused severe embarrassment for major government departments.
The Approach
The i-wareness approach minimises these risks by raising awareness of employee responsibilities, and it aims to change people's behaviour in the long term, not just apply a 'quick fix' solution.
Raising employees' awareness of Security and Diversity is a challenge. We use unique methods of appealing to and engaging the audience, ensuring that the i-wareness message is made interesting, relevant and memorable.
How does it work?
The Knowledge Zone is the central component of the i-wareness programme: it is installed on your company intranet site. Easily accessed by your employees, it provides all the information they need on every aspect of company and personal security. We take your detailed policy, procedures and documentation to create a place where this information is laid out in a simple, easy to understand format. We include real life examples from your own organisation to ensure people can relate to the messages. The Knowledge Zone is filled with information relevant to the individual: this is one of the methods we use to draw people into the Zone. For example, in the Security section you can find out how to protect yourself from credit card fraud; and in Diversity what to do if you think you are being harassed.
Behavioural Change
To achieve real behavioural change your employees need to understand why they are being asked to adjust. This is why, in everything we communicate, we explain the importance and potential consequences of their actions. Our Virtual Tour helps employees to identify, for themselves, the security risks associated with particular situations. This method of cognitive learning is a powerful technique to aid retention of information.
Compliance
We have developed the interactive Teach & Test facility as a means of instructing your employees on the important subject of compliance, then confirming their understanding and awareness of the topic. All data is recorded in the Knowledge Zone’s Management Information Suite.
Management Information Suite
Our Management Information Suite creates detailed statistical reports compiled from the information the system collects. This information may be customised to your requirements, for example: Teach & Test results; Knowledge Zone and Company Policy site visit histories; and reports specific to individuals by division or location.
Continuous Engagement
The secret to a successful awareness campaign is sustainability. To ensure you have the materials to communicate with your people we provide a toolkit of resources, known as i-comms, every quarter. Our communication specialists can also create a bespoke communication programme to suit the needs of your organisation.
On a weekly basis we research and compile news stories that can be fed directly into your Knowledge Zone. The news stories are specifically created to capture employees' attention and foster further engagement with the Knowledge Zone, another reason why many employees keep the Knowledge Zone ‘book marked’.
Policy Management
Our Policy Management Centre (PMC) completes the i-wareness range of solutions. A world class tool for displaying and updating all your organisation's policies, it separates large policies into small, easily accessible fragments. These fragments can be aligned to roles within the organisation which could allow you to, for example, read only the policies applicable to systems developers.
The PMC administration facility provides a central archive of data for audit and tracking purposes, and streamlines the review and updating of policy documents. Our clients using the PMC remark that it vastly reduces the time required to maintain their policy set.
